Poly Graphics Invitations joyfully announces the First Ever Party Invitation Design Scholarship.

This $500 award will go to a talented student in the United States who will be a college student in the fall of 2012.

Award deadline is April 29, 2012 and the award winner will be determined on or about May 7, 2012.

To win this award students will use their creative talents to design an original party invitation or announcement.
Applicants may design an individual invitation or an invitation set consisting of invitation plus matching note card or invitation plus note card plus response card.

Students may submit designs for any type of celebration – a birthday party, a graduation announcement, a holiday party, or a wedding invitation set.

Entries will be judged for four qualities:
1) Originality
2) Creativity
3) Popularity Potential
4) Overall Excellence

Each student may submit up to two designs or two invitation sets. The winning design may be offered for sale at PolyGraphics.com.

Please be creative, original, and narrow your entries to your best work!

I ran across a quote from a Tom Clancy book today. In this novel there is an attack on the stock market and a whole day’s worth of trading information is lost. The characters in the book spend some time brainstorming what to do about all the lost information. They finally come up with their solution – “If You Don’t Write It Down It Never Happened”

This made me think.

A large part of getting things printed is to help us remember.

Why do people keep scrapbooks?

To remember. Remember trips, events, celebrations.

Scrapbooks jog your memory, help you recall what you did and where you went and who you were with.

If you don’t have a copy of your party invitation on paper, did it happen?

Or, to put it another way…

If you send an email invitation to a party did it happen? Will you remember it?

Memories are great, but most times we need something printed – a photograph, a ticket stub, a party invitation… something for a scrapbook or a memory box to remind us of what happened.

Do you have printed invitations from your youth that remind you of a celebration? How about photos?

I’m betting that as you grow older you will remember more things if you have something printed to help you.

Can you recall your first birthday? I can, but only by looking at a photo and a copy of the invitation.

I believe it is our parental duty to help our children remember. Keep a box or a book. Do you remember that second birthday party that you threw for your child a few years ago? Will they remember as they get older?

Rolex Race Car goes too fast, ends up off track

We normally like to get your invitations to you as soon as we can.

Here is a story about when invitations were printed too fast.

Do you like to wait? When I’ve ordered something I don’t like to wait around until I get it. I guess that makes me impatient. We get so many things almost instantly today that everyone’s attention span seems to be getting shorter.

Since we know that people don’t like to wait, when Poly Graphics receives your order for invitations we work on them as fast as we can.

On October 10th  Karen ordered from us. Her party wasn’t that far away, so we quickly created a draft for her and sent her an email asking for her approval.

October 11th, we heard no response from Karen.

October 12th, nothing. We started getting concerned that Karen didn’t get our email, so we called her, left a message, and asked her to review her draft.

October 13th – nothing. We tried another email and did not hear back.

Karen’s party was just a few days away, so we proofread and printed the invitations according to Karen’s instructions and sent them to her. We thought they could still get there in time for Karen to send them to her guests and allow enough time to gather RSVPs and plan all the party details.

October 16th – Karen’s cards arrive and she called us – a little angry that we didn’t get approval before printing. She wanted to change the wording and was waiting until she could confirm everything.

Yes, we did ship Karen’s invitations without her approval. But we waited 3 days and didn’t hear anything back from Karen. We did our best with the information that we had and got Karen’s invitations to her as quick as we could – but they were too early!

Karen thought that we would wait for her approval before we shipped her invitations, since the Poly Graphics web site says:

“we wait for your response about the drafts we have prepared. If we don’t hear from you within a few days, we contact you and remind you to review your draft”

but it also says:

“If we don’t hear from you within a few days of making the draft available, we will try to contact you by phone and email. If we still don’t hear from you, we will ship it without approval.”

We sent them too fast – but we’d rather error on the side of being too fast and getting the invitations to Karen early than to wait and wait for her approval and for her to get them too late.

I guess Karen didn’t agree. We ended up making the changes that Karen asked for and shipping her another set of invitations. Karen got a head start on her invitations because she we able to address the envelopes we had already sent her.

So the story had a happy ending.

What you need to know before you order invitations

When you order invitations for a party there are a few things you should know about and have before you actually order. Answer these questions and you should have everything you need,

  1. Does the party have a theme? Look for an invitation design that fits your theme.
  2. Who is the guest of honor? Is there more than one? Tip: For wedding related invitations the bride’s name always comes first.
  3. How do you spell the guest of honor’s name? (or names)
  4. Who is hosting the party? Should this information be on the invitation?
  5. Do you have gift suggestions or a donation suggestion? If this is a shower or wedding make a note where the couple has registered for gifts
  6. What is the location of the party? Do you want to list the entire address and phone number?
  7. Do you need to include directions to the location or accommodation suggestions?
  8. When is the party? Both date and time. If no end time use “until” or just list the start time with no end time.
  9. How do the guests tell you that they are coming? Can they RSVP by phone, email or both? Or will you be including a Response Card with the invitation?
  10. When do you need to know how many guests are coming? When is the last day they should let you know? Should they respond to a phone number, email address, via text, twitter, facebook, or linkedin, or something else?
  11. Will you try to create wording that is funny or witty? Or is the event formal? See Emily Post for etiquette on formal invitation wording. Search for “invitation wording” for ideas, then brainstorm. Check out rhymer.com for a rhyming dictionary.

Our customers give us great ideas. This one allowed us to let the monkeys out.

We have a couple of Jungle Theme invitations. Elizabeth liked them, but her son likes monkeys, not lions or elephants or parrots.

So she asked us if we could create a jungle theme invitation with only monkeys.

We said “Sure!”

What you see here are the results of Elizabeth’s request. She chose the 4 monkeys on the vine, but some of us like the single monkey version too.
